Description

PRIMARY PURPOSE:

 

            Ensure efficient operation of school administrative office and provide clerical        services for school’s administrative staff.

 

 

QUALIFICATIONS:

 

            Education / Certification

 

                        High school diploma or GED

                        Pass local clerical test

                                               

            Special Knowledge / Skills

 

                        Proficient typing, word processing, and file maintenance skills

                        Effective organizational, communication, and interpersonal skills

                                             Ability to use personal computer and software to develop spreadsheets,     

                                              Databases, and do word processing

                        Knowledge of basic accounting principles

 

            Minimum Experience

 

                        Secretarial experience, preferably in public education environment

 

 

MAJOR RESPONSIBILITIES AND DUTIES:

 

            Records, Reports, and Correspondence

 

  1. Prepare written correspondence forms, schedules, or reports using personal computer.                                                  

 

  1. Prepare instructional materials, meeting agendas, honor rolls, graduation lists, and campus communication as requested, using personal computer.

 

  1. Maintain school calendar of events.

 

  1. Schedule meetings and appointments and maintain calendar for principal.

 

 

            Reception and Phones

 

  1. Assist students, teachers, and parents as needed.

 

  1. Receive incoming calls, take reliable messages, and route to appropriate staff.

 

            Files

  1. Maintain physical and computerized files including inventory of school and office supplies, mailing lists, student records, visitor logs, and office communication.

 

  1. Update handbooks, policy manuals, website and other documents as assigned.

 

            Accounting and Inventory

 

  1. Receive, store, and issue supplies and equipment.

 

  1. Perform routine bookkeeping tasks including simple arithmetic operations to maintain campus budget records.

                                

            Other

 

  1. Sort, distribute, or deliver mail and other documents.

 

  1. Maintain confidentiality.

 

  1. Perform other duties as assigned by the immediate supervisor.

 

  1. Process student demographic information in an accurate and timely manner.

 

  1. Attend workshops as needed.

 

  1. Input discipline reports on computer, mail to parents, and file.

 

  1. Back up for new student registration as needed.

 

  1. When substitute is not available, cover classroom assignments as needed.

 

  1. Attendance is an essential job function.

 

EQUIPMENT USED:

 

            Personal computer, printer, copier, fax machine, and calculator.
