PRIMARY PURPOSE:

 

The Director of the Student Information System/PEIMS directs and oversees the District’s student information system, student academic data and other data submitted to the State of Texas via the Texas Education Agency (TEA) to ensure data and recordkeeping integrity and compliance.

 

The Director also oversees the collection, assessment and reporting of District information to the Public Education Information Management System (PEIMS) as required by state law.

 

Additionally, the Director of Student Information conducts internal audits and develops systems of check and balances to ensure data and recordkeeping integrity and compliance.

 

The Director of Student Information must act with integrity, support organizational goals, demonstrate the ability to inspire, grow and motivate others and commit to championing the needs of the students, employees and overall District.

 

QUALIFICATIONS:

 

            Education/Certification

 

Required:

Master’s degree from an accredited college or university

 

Preferred:

Valid Principal/Mid-management Certification

 

            Special Knowledge/Skills

 

1. Ability to interpret and apply federal, state and local laws, policies and procedures, especially those pertaining to        state requirements for data reporting
2. Thorough and extensive knowledge of the District’s student information system software
3. Thorough and extensive knowledge of school processes and procedures, including attendance and state mandates      for implementation
4. Ability to maintain accurate records pertaining to the District’s student information system
5. Ability to set and meet deadlines
6. Ability to evaluate student information system program and personnel effectiveness
7. Ability to manage budget and personnel
8. Basic knowledge of relational database systems
9. Knowledge of data management processes
10. Ability to produce, interpret and summarize data in various formats
11. Ability to coordinate student information system services across District functions
12. Ability to facilitate groups using team building, conflict resolution, consensus building and problem solving skills
13. Ability to maintain accurate and auditable records, use personal computer and software to develop                           spreadsheets, databases, and word processing
14. Ability to communicate effectively in both oral and written forms at all levels of the organization

16. Exceptional organizational and managerial skills

 

            Experience       

    1. At last five years experience in supervising a data management and compliance department on the central office level in a public school district
    2. Five years experience providing PEIMS services in a school district or ESC level, preferred
    3. Five or more years experience working with the Skyward Student Management System

                       

 

 

MAJOR RESPONSIBILITIES AND DUTIES:

  1. Evaluate and oversee the projected enrollment of schools in the District and prepare weekly enrollment reports. 
  2. Monitor and ensure the accurate collection of data required for PEIMS submissions.
  3. Conduct internal audits and prepare reports for the review of principals and central office administrators in preparation for federal, state and local audits.
  4. Develop, conduct and monitor training sessions regarding PEIMS data requirements.
  5. Ensure the District meets PEIMS submission deadlines. 
  6. Distribute reports to campus-based and central office personnel for review and validation of data being submitted to PEIMS. 
  7. Oversee District PEIMS submissions.
  8. Provide expertise on updates and requirements from TEA pertaining to audits for attendance or leaver collections for the District. 
  9. Generate reports from TEA software for validation.  Review error listings and reports for reasonableness. 
  10. Collaborate with various central office department personnel to obtain staffing data, projected enrollment and registration documentation. 
  11. Provide support to schools with master scheduling. 
  12. Implement new procedures for improving collection of data in the District’s student information system software.
  13. Provide support to the District with Performance-Based Monitoring Analysis System (PBMAS) accountability processes and standards.
  14. Compile data for all Public Information Act (PIA) requests as required and submit to the District’s PIA designee.
  15. Provide training for all district staff on student information system programming and data entry compliance.
  16. Recruit, screen, select, develop, evaluate and retain department personnel that provide effective student information system services and support.
  17. Compile, maintain and present required reports, records and documents as well as utilize program evaluation data pertaining to the District’s student information system. 
  18. Identify new trends, techniques and activities in student information systems and incorporate these within the system in compliance with federal, state and local policies.
  19. Assume responsibility for his/her own professional development for keeping current with the literature, new research findings and improved techniques in student information system programming.
  20. Establish yearly department goals that align with district goals.
  21. Perform all other duties as assigned.

 

 

SUPERVISORY RESPONSIBILITIES:

 

            Supervise and evaluate the performance of PEIMS department.

The usual and customary methods of performing the job’s functions require the following physical demands: physical mobility, standing, prolonged sitting, some lifting, carrying, pushing and/or pulling. This position will also require both traveling within the district and statewide.
